Dear Hiring Team works only if updating takes seconds, not willpower. The goal is a truthful pipeline, not a perfect one.

Rule #1: update the status the moment something happens. If you postpone, it won’t happen.

The core loop

  1. Capture the job posting (extension or web app).
  2. Set the initial status immediately.
  3. Update the status when something happens.
  4. Review the pipeline once a week.

Everything else is optional.

Choose your mode

Mode A: Minimal (recommended)

Who it’s for: Most users

How it works:

Track only key statuses.

Ignore edge cases.

Rule: If you’re unsure, keep it simple and truthful.

Mode B: High-volume applications

Who it’s for: When you apply to many roles

How it works:

Capture everything immediately.

Batch-review weekly.

Rule: Speed matters more than precision.

Mode C: Detailed tracking

Who it’s for: Only if you enjoy detail

How it works:

Add notes, links, and context.

Rule: Stop if it slows you down.

Weekly review (10 minutes)

  • Scan “Initial” items older than your threshold
  • Confirm silent ones are marked “No Feedback” automatically
  • Update interviews that already happened
  • Close outcomes: Rejected / Offer / Accepted / Declined
  • Archive items you don’t want counted
  • Decide what to apply to next week

The review exists to reduce mental load, not to feel productive.

Common failure modes

“I’ll update it later”

Fix: Update immediately or it won’t happen.

Everything stays in Initial

Fix: Silence is a signal. “No Feedback” is set automatically.

I avoid marking Rejected

Fix: Tracking reality beats coping. Your pipeline is not your self-worth.

Overusing Archived

Fix: Archive only when you truly want it excluded from stats.
